Keep Oracle Aconex mail and documents after the project closes, in storage you own.

SIINC backs up Oracle Aconex projects hourly as standard, or every 4 hours or daily, into Amazon S3 or Azure Blob Storage in your own cloud account, throughout the project rather than at the end. It captures 11 Aconex modules, including documents, mail and workflows, and the Aconex Portal gives you eight module views and bulk ZIP downloads long after your project access ends.

What happens to Aconex data when a project closes?

Every organisation loses access unless it has bought an archive. Aconex help says project data is accessible for the duration of the active subscription. When it ends, Oracle may raise a banner warning that the project will be inaccessible after 30 days, and closes the project in not less than 30 days.

Archive access depends on the subscription between the project-owning organisation and Oracle. A contractor or consultant working on an owner's Aconex project does not control that contract, so their access to their own mail and documents depends on it.

Without an archive, Aconex help lists manual options: export document metadata, download documents as a ZIP file, export mail one item at a time, or run reports. Organisations with archive access cannot create any new information on the project.

What do Oracle Aconex Archives include, and how are they bought?

Oracle sells three archive products, and none has a published price. You request a quote from the Archive Quote page in Aconex and Oracle's sales team contacts you. Scheduled Archive is licensed separately.

Oracle Aconex archiveWhat it isWhat it keepsWhat it needs
Online ArchiveRead-only access inside Aconex for a contracted period, typically an annual subscriptionEvery module you usedAn ongoing subscription with Oracle
Project Archive (offline)A downloadable application, taken once at the end of the project, with a viewer that opens in your browserYour registered documents with versions, and sent, received and draft mailA PC or network location to keep it on
Scheduled ArchiveA local, read-only copy kept up to date during the projectDocuments and mailA dedicated PC with a permanent internet connection

Why back up Aconex during the project instead of ordering an archive at the end?

A backup taken during the project is already in your storage when Oracle closes the project, whether or not anyone ordered an archive in time. An offline Aconex Project Archive is downloaded once at the end, and Scheduled Archive needs a dedicated PC running for the life of the project.

Oracle's offline archives hold documents and mail. Workflows, forms, tasks and related items show how a document was reviewed and answered, and they are part of the record you may need when a defect or claim comes up years later.

  • The first SIINC run is a Full backup of every record and file version in the modules you choose
  • After that, Sync runs copy only what changed, and records deleted in Aconex are kept for the term of your plan
  • SIINC is a hosted service, so there is no PC or server to keep running
  • Every run is recorded with its scope, size, warnings and errors

Search Aconex backups in the Aconex Portal

The Aconex Portal gives you eight module views over your backed-up Aconex data, with record details and asynchronous bulk ZIP download. Mail is backed up with its related items, so correspondence can be read in context. The portal reads from your own storage, so your team does not need an Aconex licence to find a record after project access has ended. When records need to go back into Aconex, SIINC restores them into the same account or a different one.

What you need to connect Aconex

An Aconex OAuth connection using the user-bound or web-server flow, and an Amazon S3 bucket or Azure Blob container in your own cloud account. SIINC captures what the connected account can see, and nothing more.

How SIINC compares to Oracle Aconex Archives

An Oracle Aconex Archive is an Oracle product you request a quote for, and a SIINC backup lives in storage you own. Both keep Aconex project data after access ends. Some organisations will still order an Aconex Archive at completion because the contract calls for one, and SIINC runs alongside it during the project.

An Aconex Archive is the better fit when you want Oracle's own record, opened in Oracle's viewer, with document and mail registers ready to hand over. SIINC fits when you want workflows, forms and tasks kept too, in your own AWS or Azure account, under your own retention rules. The side-by-side table is on the SIINC vs Oracle Aconex Archives page.

Backing up Aconex projects owned by another organisation

SIINC backs up the Aconex projects your connection can see, including projects owned by another organisation, subject to your permissions. An admin of the account that owns the project approves the SIINC connection. A contractor or consultant on an owner's Aconex project can then keep their side of the record in their own storage.

That means your copy of the project's mail and documents does not depend on the subscription between the project owner and Oracle. What SIINC captured before access closes stays in your Amazon S3 or Azure Blob Storage account.

Oracle Aconex backup questions

Yes. SIINC writes Aconex backups into an Amazon S3 bucket in your own AWS account, in the region you choose, or into an Azure Blob Storage container instead. SIINC runs a write test before saving the storage credentials, and storage is billed by AWS or Azure at your own rates.

Yes, with SIINC. Mail is backed up with its related items, so correspondence can be read in context in the Aconex Portal rather than one exported message at a time.

Yes. SIINC backs up workflows, tasks, forms, project fields and related items as well as documents and mail. Each module is a checkbox, so you choose which ones to keep.

No. SIINC is a hosted service with nothing to install and nothing running on your network. You connect Aconex, add your storage credentials and choose the projects and modules, and setup takes under 30 minutes.

Not when it backs up. Backups only read from Aconex through the official API and write to your own storage. SIINC writes into Aconex only when you run a restore, which can put records back into the same account or a different one.
